Job Description:

Walter L. Cohen College Prep is searching for a full-time Office Assistant for the 2019-2020 school year. JOB TITLE: Office Assistant

REPORTS TO: Principal

JOB OR POSITION SUMMARY:

To serve as main point of contact for the school for all stakeholders and as the primary communications contact for Spanish speaking community members. Additionally, to provide administrative assistance at the school level.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Serve as main point of contact for the school, answering the phone, taking and delivering messages and scheduling appointments with an emphasis on serving Spanish speaking stakeholders

  • Greet all visitors and ensure proper sign-in procedures are being met

  • Assist with preparations for school events and activities as needed (e.g. make photocopies, set up for special events, confirm attendance, etc)

  • Receive and sign for packages/deliveries

  • Assist parents with pre-applications for Enrollment

  • Create communications in both English and Spanish for distribution

  • Assist with a variety of school-wide duties necessary for the successful and orderly operation of the school (e.g. hallway supervision, arrival/departure transitions, participation in field trips, etc) and other such duties as requested by the Principal

  • Attend and participate in the school’s professional development program as planned and scheduled when requested;

  • Provide miscellaneous administrative support to the School Leadership as needed

  • Other duties as assigned by the Principal or Assistant Principal

Experience and Skills:

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  1. Knowledge of and skills in using various computer programs including but not limited to Microsoft Word, Excel and Google Drive

  2. Skills and abilities in organization, time management, and record keeping.

  3. Ability to speak Spanish and English languages fluently and ability to interpret and translate communications in both languages

  4. Ability to collaborate and communicate effectively (verbally and in writing) with other professionals in a team setting

  5. Ability to operate a computer and the skills to learn and utilize software and other technology

  6. Ability to effectively address and meet a wide range of academic, social and developmental needs for all types of learners

  7. Ability to interact positively and effectively with parents, students, staff, and administrators

  8. Ability to maintain confidentiality

LICENSING/CREDENTIAL AND/OR EDUCATION REQUIREMENTS

  1. Minimum: High School Diploma or GED

  2. Preferred: 2 years prior office experience within an education agency

  3. Satisfactory criminal history review

PHYSICAL REQUIREMENTS:

Ability to stand, walk, and sit frequently or for prolonged periods of time. Additionally physical abilities include lifting/carrying/pushing/pulling, stooping/crouching, reaching/handling/fingering, talking/hearing conversations, and near/far visual acuity/depth perception/color vision/field of vision.
